IFTA Q4 Filing Deadline: What Fleets Need to Know Before February 2, 2026

The deadline for filing the 4th Quarter IFTA report (October–December 2025) is approaching. For most fleets, this report must be submitted by February 2, 2026, since the standard January 31 due date falls on a weekend.

If your operation runs interstate vehicles, understanding IFTA requirements and having accurate fuel and mileage data ready is essential to avoid penalties and last-minute stress.

This guide provides an overview of IFTA basics, reporting deadlines, required information, and the consequences of missing the filing date.

Overview of IFTA

The International Fuel Tax Agreement (IFTA) is a cooperative agreement among 48 U.S. states and 10 Canadian provinces. Its purpose is to simplify fuel tax reporting for motor carriers operating in multiple jurisdictions.

Rather than filing separate fuel tax reports in every state, carriers submit a single quarterly return to their base jurisdiction. That jurisdiction then distributes the appropriate fuel tax amounts to the other states or provinces where miles were traveled.

IFTA ensures fuel taxes are allocated fairly based on actual road usage while reducing administrative complexity for fleets.

Who Is Required to File IFTA?

IFTA applies to qualified motor vehicles operating in more than one jurisdiction. A vehicle generally qualifies if it meets one or more of the following criteria:

  • Has two axles and a gross or registered weight exceeding 26,000 pounds
  • Has three or more axles, regardless of weight
  • Is used in combination where the combined weight exceeds 26,000 pounds

Carriers operating interstate with qualified vehicles must file an IFTA return every quarter, even if no tax is owed.

IFTA Filing Due Dates for 2025

IFTA reports are due on the last day of the month following the end of each quarter. The official due dates for the 2025 reporting year are:

Report Period Quarter Due Date
January-March 2025 Q1 April 30, 2025
April-June 2025 Q2 July 31, 2025
July-September 2025 Q3 October 31, 2025
October-December Q4 February 2, 2026

Note: When a due date falls on a weekend or public holiday, the deadline moves to the next business day.

What Happens If You Miss the IFTA Reporting Deadline?

Failing to file an IFTA report on time may result in penalties, including:

  • Late filing penalties
  • Interest on unpaid tax amounts
  • Additional jurisdiction-specific fees

In many cases, penalties are assessed at $50 or 10% of the net tax liability, whichever is greater. Repeated non-compliance may also lead to license suspension.
Meeting deadlines and maintaining accurate records year-round helps fleets avoid unnecessary costs and compliance issues.

How Technology Simplifies IFTA Reporting

Manual fuel tracking makes IFTA reporting more difficult than it needs to be. Missing receipts, inconsistent mileage logs, and last-minute data reconciliation increase stress during filing periods.
Fuel management technology helps by:

  • Automatically capturing fuel transactions
  • Centralizing data across vehicles and locations
  • Improving accuracy and consistency
  • Supporting audit-ready documentation

With reliable data already organized, fleets can approach IFTA deadlines with confidence.
